We are devoted to providing you with excellent travel experiences and ensuring your safari is smooth and enjoyable. Before making a booking with us, you must ensure that you have carefully read and understood the following terms and conditions that rule our services. We are at your disposal to answer any questions you may have regarding our terms and conditions.

The terms and conditions of Carmine Safaris & Tours prevail in all situations unless otherwise specified.

The terms and conditions below are specific to the services provided by Carmine Safaris & Tours referred to as “We” and “Us” to you, our client as “client”, “traveler”, “you”, “your”, “the lead booker” as well as the booking party” and the use of its website and social media handles or pages.

Privacy and data protection

We are committed to protecting your privacy and handling your personal data in agreement with our privacy policy. By using our website and contacting us via provided channels, you consent to the collection, use, and disclosure of your personal information as described in our privacy policy.

Modification of our terms and conditions

We reserve the rights to amend and/or update our terms and conditions at any time. Any changes will be effective instantly upon posting them on our website. By continuing to use our website after such changes, you agree to be bound by the modified terms. If we revise our terms and conditions, our clients who have already made booking will receive an email about the changes. The revised terms and conditions will automatically apply from that time.

Website pricing

All prices on the website if any should only be used as a guideline. Carmine Safaris & Tours will not be responsible for any price changes. We shall provide actual costs once we make a quote on email to our client. All prices published on the website are per person and quoted in US dollars (USD$). Costs for obtaining Visas, passports boarder taxes, tips of any kind, insurances, additional excursions or personal expenses are excluded in the itinerary cost. Rates for children are also not included in the itinerary costs.

Surcharges 

The price of your itinerary will be based on known costs at the date/time of issue of the itinerary. From the date of the conclusion/confirmation of the travel package agreement up to 30 days before commencement of the trip, Carmine Safaris & Tours reserves the right to levy a surcharge where costs have changed since the date of issue of the itinerary. 

Issues influencing surcharge would include but not limited to increase in transportation costs (like fuel, embarkation or disembarkation fees at airports), increase in park fees, exchange rates which are relevant to your package. Clients/ Travelers should accept the fact that conditions in some African countries are not the same as those in their home countries. 

There are possibilities off un announced and sudden changes in government regulated fees and taxes such as National park fees and taxes. Carmine Safaris & Tours will always pass these local taxes/fees on to clients as soon as possible.

Booking, Payment and cancellation

Booking 

When a client requests for a quote in whichever way, we respond with a detailed itinerary via email. The itinerary shared outlines the various destinations to be visited, activities to be done and suggested accommodations in each destination. This allows the client to have a clear picture and understanding of what to anticipate during the trip. Following this, it is upon the client to confirm their acceptance of the proposed itinerary or provide suggestions for any modifications they desire until an agreement is reached. The trip services agreed upon during the booking process is what we diligently deliver, except in the event of unforeseen circumstances like bad weather, road closure and security concerns.

Payment 

Carmine Safaris & Tours accepts payment by bank wire/transfer, debit or credit card as well as other direct payments approved by us.

Upon confirmation of a tour package, we share a detailed invoice with the client. We require a 60% deposit payment on the total itinerary cost within 10 days of receiving the invoice and 100% upfront payment if the booking is made within 60 days prior to departure. This is to allow us make preparations and prior payments. We cannot guarantee a booking if we have not received a deposit or full amount payment. Failure to fulfill the payment policy, we shall declare your booking cancelled.

Cancellation

There are circumstances where cancellation is inevitable and in this case, below are our guidelines governing cancellation of a confirmed booking at Carmine Safaris & Tours.

  • In an event where you cancel your booking, any refunds will be as per our refund policy.
  • We can only consider cancellation by the client upon receiving a written cancellation email from them.
  • While we shall do our best to avoid cancellations, we reserve the rights to cancel your safari if during your trip you fail to comply with the law, tours, accommodations and carriers. We shall not accept liability where your performance of our contractual obligation is prevented or affected by your failure to adhere to the applicable laws and you will not be entitled to any refund for unused or missed service or costs incurred as a result of the termination.
  • We shall also not accept liability in cases where the performance of our contractual obligations is prevented or hindered by or you suffer any damage or loss as a result of circumstances that are beyond our control like wars, civil unrest, floods, industrial disputes, terrorism, natural disasters, epidemics or pandemic diseases, technical problems with transport, cancellation or amendments to any scheduled flights, closure or congestion of airports and any other similar events that are beyond our control.
  • In cases where Carmine Safaris & Tours is able to receive refund from suppliers because of cancellation, we shall be able to pass it on to the client less service charges. However, we do not guarantee receiving refunds from suppliers.
  • We shall also cancel your holiday if you fail to comply with your duty to pay your trip sum as per the payment policy.

Insurance 

To ensure a safe and enjoyable safari, we require all travelers to carry comprehensive travel and medical insurance that covers medical expenses and repatriation expense. Optional insurances may include cancellation of the safari, emergency evacuation, loss of personal belongings and many others.

Travel documents

It is the traveler’s responsibility to ensure that they have valid passports and visas for all the countries they intend to visit. Travelers are also required to get necessary proof of vaccination documents for entry into destinations. All verifications from the relevant authorities should be done before date of departure. We shall not be liable for improper documentation and costs associated with obtaining necessary documents.
